Job Summary

Athabasca Tribal Council is seeking a highly organized and proactive Executive Assistant (EA) to support Senior Leadership. The EA plays a vital role in ensuring the smooth operation of executive functions and overall organizational success. This position is responsible for providing high-level administrative and logistical support, including managing calendars, coordinating travel, handling correspondence, and organizing meetings and events. The EA also supports the implementation of efficient systems and tools that enhance operational effectiveness across the organization. Acting as a role model, the EA is expected to go the extra mile, offering proactive support to the wider organization as needed. This role requires discretion, initiative, and a commitment to excellence in administrative operations.

DUTIES AND RESPONSIBILITIES

  • Provide high-level administrative support to senior leadership, ensuring a professional, responsive, and effective experience across all interactions.

  • Manage calendars, travel, appointments, and conference schedules, resolving conflicts and prioritizing tasks independently.

  • Screen incoming correspondence (email, mail), and route or respond appropriately; read, analyze, and triage documents and submissions.

  • Prepare reports, presentations, executive correspondence, and meeting minutes; compile and analyze data as needed.

  • Support board functions including preparing agendas, compiling materials, and recording/distributing minutes while maintaining confidentiality.

  • Maintain records and document management systems, recommending improvements and ensuring accessibility.

  • Provide general administrative support across departments and front desk coverage when required.

  • Perform other related duties and responsibilities as assigned to support organizational objectives.

QUALIFICATIONS AND SKILLS

  • Post-secondary diploma in Business Administration, Office Administration or a related field.

  • Minimum of 5 years of experience providing administrative or executive-level support.

  • Proficient in Microsoft Office Suite and other administrative tools.

  • Demonstrated ability to manage competing priorities and meet deadlines with minimal oversight.

  • Exceptionally organized, detailed oriented, with ability to maintain accuracy in a fast-paced environment.

  • Flexible and adaptable to diverse work settings, with cultural sensitivity and awareness.

  • Collaborative team player with a cooperative spirit and strong relationship-building skills.

  • Excellent verbal and written communication skills.

  • Reliable and punctual, with a strong commitment to professional responsibility.

  • Skilled in problem-solving and resolving issues with diplomacy and discretion.

  • Knowledge of Cree or Dene is considered an asset.

REQUIREMENTS

  • Clear Criminal Record with Vulnerable Sector Check.

  • Clear Child Intervention Record Check.

  • Class 5 License with a clear Drivers abstract.

  • Available to work evenings and weekends if required.
