JOB SUMMARY
Reporting to the Child and Family Services (CFS) Office Manager for Athabasca Tribal Council (ATC), the CFS Administrator Clerk role provides comprehensive administrative support to ensure the effective and compliant delivery of Child and Family Services programs. This position supports adherence to relevant policies, and procedures, coordinates authorization and purchasing processes, and maintains accurate electronic and paper records. The role serves as a key point of contact for administrative support and documentation management. Through effective use of internal systems and strong organizational practices, the position contributes to a productive office environment and supports CFS program delivery

DUTIES AND RESPONSIBILITIES

  • Ensure compliance with relevant CFS legislation, policy and procedures.

  • Support the completion of CFS Authorization forms, ensuring all documentation and approval requirements are met. This includes, but is not limited to:

    • Purchase requests for office and program supplies.

    • Travel Requests, including transportation and accommodation for staff and members.

    • Purchase Order related to members needs.

    • Ongoing review, maintenance, and updating of relevant contract database.

  • Liaise between CFS field team and CFS finance to ensure adequate documentation and authorizations are completed and end to end process is adhered to

  • Effective utilization of internal electronic filing/communication systems to support end to end processes.

  • Maintain up to date CFS filing as required by provincial legislation and internal processes, which includes both physical and electronic filling.

  • Provide administrative support as required, including maintaining accurate updates in

    government systems related to legal requirements and placements.

    • Coordination of Criminal Record Checks and Vulnerable Sector checks.

    • Prepare, record, and distribute meeting minutes in a timely manner.

    • Support the completion and submission of relevant Child and Family Services (CFS) Provincial/Federal filling and applications, as required.

  • Support a productive and efficient office environment, including maintaining Child and Family Services (CFS) office equipment functionality (e.g., ordering toner, ensuring adequate paper supply, reporting deficiencies,)

  • Coordination the ordering and replenishment of office supplies for all ATC office locations.

  • Provide ad hoc support, as requested by your leader in the areas of reception coverage, fleet management support, logistics coordination.

  • Perform other duties and responsibilities as assigned to support organizational objectives.

QUALIFICATIONS

  • High school diploma is required.

  • Business administration certificate and/or diploma preferred.

  • Minimum one (1) year of experience in an administrative role.

  • Experience working knowledge of First Nations culture, traditions and values is a definite asset.

  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.

  • Strong written and verbal skills to communicate with all levels of the organization.

  • Strong customer service skills.

  • Organizational and multitasking skills.

  • Ability to work well in a team and individually.

  • Knowledge of Cree and/or Dene is considered an asset.

REQUIREMENTS

  • Clear Criminal Record Check with Vulnerable Sector Check.

  • Clear Child Intervention Record Check.

  • Class 5 Drivers License and Clean Drivers Abstract.

  • Available to work evenings and weekends if required.
