Site Coordinator – Fort Chipewyan

JOB SUMMARY
Athabasca Tribal Council is seeking a Site Coordinator for the Fort Chipewyan office to serve as the primary point of contact for visitors and clients, oversee daily administrative operations, and provide administrative support to the Child and Family Services team. Reporting to the CFS Office Manager, the ideal candidate is highly organized, customer-focused, communicates effectively with internal and external stakeholders, and works well both independently and virtually with a broader team
DUTIES AND RESPONSIBILITIES
Maintain general administrative duties such as, answering phones, printing, filing, scanning, administration of mail and freight, etc.
Effectively utilize shared work tools and practices, such as shared email/inbox, electronic filing, document sharing, etc.
Greet ATC visitors and clients and provide general support.
General organization and tidying of the office including the kitchen, washrooms, bedrooms etc.
Provides site coordination of contracted services, including performance monitoring and follow-up.
Support a productive office environment, including but not limited to:
Maintaining CFS office equipment functionality (ordering toner, ensuring paper is full daily, reporting deficiencies, etc)
Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
Performs scheduling tasks including calendar coordination, reserve meeting rooms, teleconference services, and assemble attendee packets.
Invoice processing and purchase order administration.
Complete travel bookings, inclusive of transportation and accommodations.
Provide Fleet Management support.
Travel to and from the airport and locally, to pick up freight, transport employees etc.
Assist in organizing events including booking facilities, catering, travel and other details as required.
Handle sensitive information in a confidential manner.
Perform other duties and responsibilities as assigned to support organizational objectives.
QUALIFICATIONS
High school diploma or equivalent.
2+ years of experience in office administration or related field.
Working knowledge of First Nations culture, traditions and values is a definite asset
Strong written and verbal communication skills
Computer literacy, including effective working skills with Microsoft Word, Excel, and Outlook required.
Experience with invoice processing.
Experience working with a virtual team is preferred
REQUIREMENTS
Clear Criminal Record Check with Vulnerable Sector Check.
Clear Child Intervention Record Check.
Class 5 Drivers License and Clean Drivers Abstract.
Available to work evenings and weekends if required.
